NAACP Wins 2022 Nintex Solution Innovation Award

In June 2022, our client the NAACP won the Nintex Solution Innovation Award for the document automation program we delivered together. Four years on, it remains the proudest line on our feed — and the story behind it holds lessons for any mission-driven organization drowning in paperwork.

The problem: a mission wrapped in documents

Large membership organizations run on documents the way governments do: membership correspondence, unit charters, acknowledgments, reports — thousands of them, historically assembled by hand from data living in Salesforce. Manual assembly doesn't just cost hours; it costs consistency. Every hand-built letter is a chance for the wrong name, the wrong date, the outdated template.

What we built

The program moved document generation into Nintex DocGen for Salesforce: a controlled template library instead of dueling Word files, conditional logic so one template serves many scenarios, data merged live from Salesforce records, and delivery wired into the processes people already ran. The innovation the award recognized wasn't any single feature — it was the shape of the whole: automation that fit how a volunteer-driven, chapter-based organization actually works, not how a software demo assumes it works.

Why it won

Nintex's Solution Innovation Awards recognize customer programs that apply the platform in ways others can learn from. What made this one stand out, in our view: it treated document automation as a process project rather than a template project. The templates were the visible artifact; the real work was upstream — data quality, ownership, approval flow, and the discipline to consolidate rather than replicate.

Three lessons for nonprofits considering document automation

  • Consolidate before you automate. Migrating forty near-duplicate templates produces forty automated near-duplicates. The award-winning move is the boring one: rationalize the library first.
  • Design for the volunteer, not the admin. If generating a letter takes training, it won't happen in a chapter office at 8 pm. One button, correct output, every time.
  • Let the data model do the conditional work. When Salesforce knows the member type, the region, and the program, one intelligent template replaces a folder of variants — and stays legally reviewed.

What the program looked like in practice

Award citations compress months into a sentence, so here's the texture. The engagement began the way our assessments still do: an inventory. Which documents exist, which are actually used, which data feeds them, and who owns each one. That inventory did more for the program than any technology decision — it surfaced near-duplicates to retire, orphaned templates whose owners had moved on, and the short list of documents that carried real volume. Automation effort then went where the hours were, not where the requests were loudest.

The second decision that aged well: treating Salesforce as the single source of document truth. Every merge field traced to a governed field on a governed object — no side spreadsheets feeding letters, no “just this once” manual edits that fork a template. When the data model changed, documents followed automatically. That's the property that keeps a document estate healthy years later, and it's the first thing we check in any DocGen assessment today.

Why awards like this matter to buyers

Partner marketing is easy to write; third-party recognition is not. An innovation award from the platform vendor, tied to a named client program, is one of the few signals a buyer can't discount — alongside reviews that name individual consultants and clients who purchase again.
